Roles and responsibilities
The Principal Consultant at Red Pony is responsible for governing the use of AI at Red Pony. The Principal Consultant conducts thorough research into AI tools to discern their relevance to our work, and whether they offer the potential to improve productivity. Where a tool is found to offer this potential, the Principal Consultant ensures employees receive thorough training on the use and application of the tool.
The Principal Consultant has the authority to approve this AI policy and its subsequent revisions. The Principal Consultant is responsible for overseeing and verifying employees’ adherence to this AI policy.
Commitments
Red Pony is committed to the ethical, responsible and effective use of AI systems. Our commitments align to our philosophy, which is based on the 3 pillars of craft, trust and connection, and to Australia’s AI Ethics Principles. We are guided by the Australian Government’s Guidance for AI Adoption.
Regarding the use of AI, Red Pony commits to:

Proceeding with caution
Red Pony is keeping up-to-date on the availability of AI tools and the ever-changing landscape of AI. We believe that while some tools may be effective for completing certain tasks, there is no substitute for our editorial expertise and human discernment when it comes to providing writing and editing services.
Completing thorough investigation and training
Prior to using a specific AI tool, Red Pony’s Principal Consultant will undertake a thorough investigation into its effectiveness and relevance to our work, and an assessment of its potential to improve productivity. If a tool is found to offer that potential, Red Pony employees will undergo thorough training prior to using the tool.
Using AI where appropriate
Red Pony will only use an AI tool in the execution of client projects where it has been assessed as improving the delivery of our service. This may be where an AI tool can add to the quality, consistency and efficiency of our work. Red Pony will always rely on editorial expertise and human discernment to check content for accuracy.
Maintaining client confidentiality
Red Pony will never expose client content to publicly accessible AI data mining or training systems. Identifying these systems will form part of the Principal Consultant’s investigation into the use of an AI tool, prior to its use.
Maintaining transparency
Red Pony will be open and transparent in how we use AI tools in the execution of a project for a client. A client may request full details of how AI tools have been applied – if at all – in the execution of their project. Furthermore, a client may request that no AI tools are used in the execution of their project.
Applying human discernment
Red Pony believes that human discernment is paramount. There is no substitute for our editorial expertise. Even if we use an AI tool as part of completing a project, we will always check the content thoroughly to ensure accuracy.
Client use of AI
Red Pony may ask whether AI has been used to assist in the creation of content provided by a client as part of any project. This helps us to better understand the nature of the content and anticipate the requirements for our writing and editing services in relation to this content.
