PROJECT BRIEF

Create an Microsoft Word template with customised styles and formatting for the law firm and train staff to use this functionality effectively.


Actuate IP Group (Actuate) is a boutique law firm specialising in patents, trademarks and intellectual property.

As an organisation that uses a number of standard documents for clients, associates and prospects, Actuate wanted to develop a comprehensive repository of templates that could be customised by users while retaining a consistent corporate look and style.

In the first phase of the project, Red Pony reviewed Actuate's existing document set. From this review, Red Pony developed a base template with styles, formatting and options for all scenarios and requirements.

This included a range of text styles, heading levels, numbered and bulleted lists and numbered paragraphs in the standard legal style.

Working from the base template, Red Pony helped Actuate to design a range of customised templates, including standard client letters, patent, copyright and trademark advice, and other common documents.

The templates were uploaded to a shared drive so that Actuate lawyers, attorneys and administrative staff could all access and customise documents for a variety of audiences.

In the second phase of the project, Red Pony trained Actuate staff to use the formatting palette, create and modify document styles, and importing styles from other templates. Red Pony provided Actuate with a comprehensive user manual covering all training topics for easy reference by staff.

 
Previously, time was spent manually formatting documents. Now all staff need to do is to select the appropriate template – a development that has undoubtedly improved overall productivity.
